Tools for Categorizing Contacts in Outlook (and more tools)

Sept 17, 2014

A reader submitted the following about tools for categorizing contacts in Outlook, and some other tools. thought I’d pass it on as it looks useful.

Here is what he wrote:

I categorize my contacts so I can find, let’s say, an electrical supplier, Also by project.  Categorizing is much better than putting in a folder, as you know, because one contact can then be searched for by different categories. But categorizing has been a bit of a pain as you have to go through multiple steps to open the full category list, and you have to scroll down a long list.  I searched for add ins that would place a persistent category list. I found these:

Category Manager updated 11/27/12 to v.2013-32 http://www.vboffice.net/?id=2006063 All of your categories in a side-bar: With Quick-Cats you can assign categories as fast as lightning.   You can rename any of the categories at any time – and rename categories for all of your folders at the same time.
Categorize Plus 32 bit 2013 win 8 32/64 http://www.veranosoft.com/ categories list up all the time, grouping, filtering, etc now works in 2013 (jon zimmerman)
Categoriez not updated since 2010 http://www.software-solutions.co.nz/aladdins_co/alcoabout.aspx categories list up all the time, grouping, filtering, etc
Reliefjet Essentials weak categorizer http://www.reliefjet.com/ Categroizer, duplicate remover, attachment processig, send messages persoally, hide fax numbers,

By far, the best was Categorize Plus – it provides a persistent list, but also allows you to build hierarchical menus: easier to classify.

Here ae a couple of other add-ins that have made my life easier:

http://www.sperrysoftware.com/outlook/Save-As-PDF.asp

this will export your emails and the attachments as one big file. I used this when I needed to fight a court case. I categorized all emails related to the case, filtered, then printed the whole batch , along with attachments.

I also use Bluebeam as a pdf viewer/editor – much better than acrobat (www.bluebeam.com)

Another add-in that will be dear to you hear is eeminders – http://www.standss.com/eeminders/default.html

Inbox gets too intimidating to process – punt – it will hide and defer the email for whatever time you decide.

A Reader

I haven’t confirmed this reader’s suggestions, so I leave that up to you!
