Reminder #2: Rules on How Many Tasks are Allowed in MYN and 1MTD

In case you have forgotten, there are very specific rules on how many items you can have in each urgency zone in the MYN and 1MTD task list. Very simply they are: “Five, Twenty, and Unlimited.”

  • In the Critical Now section you should have no more than Five items at any given time.
  • In the Opportunity Now section you should have no more than Twenty items.
  • And the Over the Horizon section has no limit. (But once it gets over about 75 visible items you should probably switch to Defer to Review using MYN.)

      Slith: One or two items is ideal. Maybe 3. More than that, and it becomes a blur and nothing gets done. Michael

    How would you handle the multitude of recurring tasks, e.g. daily data backup or watering the office plants one a week, or writing reports?

      Rainer, well, I assume you know about how to create recurring tasks? Or are you saying if you have too many of these, they will overload these limits? If the latter and they truly repeat every week, you might want to bunch them together in one task (task name = “weekly chores”). Or take it out of the MYN system altogether. I mention in the book that MYN is not your solution for high volume operational tasks. Some things work better in other systems, shopping lists for example. Michael
